I. POLICY STATEMENT

This policy defines and establishes governance for the university-managed printer fleet, PawPrint, including printing, copying, scanning, and faxing.

II. SCOPE AND APPLICATION OF THE POLICY

This policy applies to all university and community members at all 糖心Vlog owned or managed properties. This policy provides governance to ensure compliance as outlined in the PawPrint Standard.

III. DEFINITIONS

PawPrint Services鈥: The 鈥淧rint Anywhere at Western鈥 Print Services are network-based print, copy, scan, and fax services for all faculty, staff, students, and community members of 糖心Vlog managed by the Division of Information Technology (DoIT).

PawPrint Standard鈥: A comprehensive set of guidelines and procedures that detail the operational aspects, usage, and compliance requirements for PawPrint Services. This standard ensures consistent and efficient use of printing, copying, scanning, and faxing resources across the university.

IV. PAWPRINT SERVICES POLICIES

PawPrint services shall be utilized for all printing across the university, except for grandfathered printing. 

  1. General
    • The goal of PawPrint is to provide a cost-effective sustainable approach to printing services, including the ongoing support and replacement of the equipment and supplies, while also incentivizing less waste by leveraging digital document sharing.
    • PawPrint Services shall be used for typical printing, copying, scanning, and faxing.  All university employees must comply with the PawPrint Services Policy and related Standard (linked under REFERENCES below).
  2. PawPrint Standard Summary
    • The PawPrint Standard provides detailed guidelines and procedures for the efficient use of PawPrint Services including:
      • Governance: Establishes guidelines for PawPrint Services.
      • Operations: Covers printing, copying, scanning, and faxing.
      • Support: Includes IT support, managed software on university computers, and special event services.
      • Device Changes: Procedures for adding, moving, or modifying printers.
      • Billing: Information on tier allocation, refunds, and billing codes.

V. EXCEPTIONS

This policy does not apply to the print services provided by the University Printshop, student personal printing in their campus residence, nor the use of specialty printers including large format (e.g., plotters), label printers, or 3D printers.  All exception requests must be submitted to the DoIT Help Desk through a Service Request for review and approval by the CIO and CFO. Any approved exception is subject to a future review and support for exceptions may become the responsibility of the host department, unless a prior agreement is reached with DoIT.

VI.  POLICY REVIEW

This policy will be reviewed every three (3) years.
